Terms and Conditions

General Terms and Conditions for holidays in India, Nepal and Bhutan.

All correspondence(s) in respect of Tours / Travel Service bookings should be addressed to M/s. Vedic Himalaya.

Advance Booking Fee

  • 30 days or more before departure: 25% of total cost

  • 30-15 days before departure: 50% of total cost

  • Less than 15 days before departure: 100% of total cost


Mode of Payment: Overseas advance payment can be made through Wire Transfer to our bank.

Apart from above in some cases like Special Train Journeys, hotels or resorts bookings during the peak season (X-Mas, New Year); full payment is required to be sent in advance.

Cancellation Policy
If You Cancel Your Holiday:

  • You or any member of your party may cancel their travel arrangements at any time. Written notification or an e-mail to that effect from the person who made the booking must be received at our office. The cancellation charges applicable are as per the published cancellation policy below:

  • Cancellation Policy: In the event of cancellation of tour / travel services due to any avoidable / unavoidable reason/s we must be notified of the same in writing. Cancellation charges will be effective from the date we receive advice in writing, and cancellation charges would be as follows:

Cancellation charges per person

  • 40 days prior to arrival: 10% of the Tour / service cost

  • 15 days prior to arrival: 25% of the Tour / service cost

  • 07 days prior to arrival: 50% of the Tour / service cost

  • 48 hours prior to arrival OR No Show: No Refund

  1. In case the booking is for a group, the cancellation charges may be up to the total cost of the package, depending on the supplier penalties.

  2. Wildlife Safaris cancellation: All the wildlife safaris booked into any of Indian Wildlife National Park/Sanctuaries are non refundable. Even date change request will be considered as cancellation and no payment will be refunded/ adjusted against it.

  3. Note: Written cancellation will accept on all working days, except Saturday and Sunday, Any cancellation sent on Saturday’s and Sunday's will be considered on next working day (Monday).

  4. For the X-Mas and New year period from 20 Dec to 05 Jan the payment is non-refundable.

  5. In case you cancel the trip after commencement, refund would be restricted to a limited amount only which too would depend on the amount that we would be able to recover from the hoteliers/ contractors we patronize. For unused hotel accommodation, chartered transportation & missed meals etc. we do not bear any responsibility to refund.

If We Change or Cancel Your Holiday:

  • We do plan the arrangements in advance. It is unlikely that we will have to make any changes to your travel arrangements. Occasionally, we may have to make changes and we reserve the right to do so at any time. If there are any changes, we will advise you of them at the earliest possible date. We also reserve the right under any circumstances to cancel your travel arrangements by assigning reasons to you.

  • If we are unable to provide the booked travel arrangements due to reasons beyond our control (e.g. bad weather):

  • We shall first try to offer alternative dates for the tour if the tour hasn’t already commenced.

  • If the tour has already commenced, then we shall refund the booking price/fee charged to you on a pro-rata basis depending on the portion of the tour utilized by you.

  • In all circumstances, however, our liability shall be limited to refunding to you the price we charged as tour fees.

If you want to change your holiday plan

  • After confirmation of services, if you wish to change your travel arrangements in any way (e.g. your chosen departure date or accommodation), we will do our utmost to make these changes but it may not always be possible. Any request for changes must be in writing from the person who made the booking. All cost incurred due to amendment will be borne by you.

If you have a complaint

  • If you face any problem during your holiday, please inform the relevant supplier (e.g. your hotelier, transporter etc.) and/or our representative immediately who will Endeavour to set things right. If your complaint is not resolved locally, please follow this up within 14 days of your return home by writing to us, with your booking reference and all other relevant information. However, please be advised that while we are happy to assist you in the redressed of your complaint, if any, we will be able to extend only our best efforts in managing/coordinating your complaint with the respective service provider. All third party service providers are independent contractors who are at no time under our control or supervision.

Our liability

  • In case any promised travel arrangements are not provided by our employees or agents as promised, we will compensate you up to the limit of the cost of such arrangements.

  • We does not accept any responsibility for third party services or service providers like hotels, transport etc. For example, transporters are responsible for travel delays while hotels are responsible for inefficient service or lack of hospitality.

  • We are only a tour operator. At no time we shall be held responsible for your acts of misdemeanor/omission and your personal affairs. For example, we shall not be held responsible for ensuring the safety of your personal belongings, travel documents, etc. at any time before, during or after the holiday.

  • Our Liabilities & Limitations: Please note that after the finalization of the Tour/ service Cost, if there are any Hike in entrance fees of monuments / museums, Taxes, fuel cost or guide charges – by Govt. of India, the same would be charged as extra.

  • We act only in the capacity of agent for the hotels, airlines, transporters, railways & contractors providing other services & all exchange orders, receipts, contracts & tickets issued by us are issued subject to terms & conditions under which these services are provided by them.

  • We do not have any insurance policy covering the expenses for accident, sickness, loss due to theft, or any other reasons. Visitors are advised to seek such insurance arrangements in their home country. All baggage’s & personal property/s at all times are at the client's risk.

  • Please Note: We will not be responsible for any costs arising out of unforeseen circumstances like landslides, road blocks, bad weather, etc.

  • All itineraries are sample itineraries, intended to give you a general idea of the likely trip schedule. Numerous factors such as weather, road conditions, the physical ability of the participants etc. may dictate itinerary changes either before the tour or while on the trail. We reserve the right to change any schedule in the interest of the trip participants' safety, comfort & general well being.

  • Our rates are based on the prevailing rates as negotiated by us with the hotels, airlines etc. Hotels and Airlines retain the right to modify the rates without notice. In case of such changes the rates quoted before the modification, can be changed by us according to the modifications by hotels or airlines. All hotel bookings are based on usual check in and checkout time of the hotels until unless indicated in the itinerary.

  • We shall not be responsible for any delays & alterations in the program or expenses incurred – directly or indirectly – due to natural hazards, flight cancellations, accident, breakdown of machinery or equipments, breakdown of transport, weather, sickness, landslides, political closures or any untoward incidents.

  • We shall not be responsible for any loss, injury or damage to person, property, or otherwise in connection with any accommodation, transportation or other services, resulting – directly or indirectly – from any act of GOD, dangers, fire, accident, breakdown in machinery or equipment, breakdown of transport, wars, civil disturbances, strikes, riots, thefts, pilferages, epidemics, medical or custom department regulations, defaults, or any other causes beyond our control.

Holiday Insurance

  • You are requested to purchase your own travel or holiday insurance. We shall not be held responsible for this service.

Exactness Not Guaranteed

  • We cannot and does not guarantee the exactness of any service in the package. For example, photographs of the interiors of hotel rooms posted on our website have been provided by the respective hotels. Hence, we do not guarantee the visual appeal of your room. We want you to have an enjoyable experience but we cannot and do not guarantee or represent that such a package will be as per your perception or imagination.

General Notes

  • We will inform you of any change in prices and only after your confirmation; we will proceed with the booking. There will be no reduction in cost for any unutilized service.

  • Surcharges may be applicable over and above the package cost for the requested period. We will inform you of such costs at the time of booking or before confirmation.

  • You need to make an advance payment at the time of confirming the tour and make the balance payment 14 days prior to the departure of the tour.

Forfeiture of deposit

  • We reserves the right to forfeit the non-refundable, interest-free deposit paid by you in the following situations: a) If you cancel the booking b) If you fail to adhere to the payment schedule c) If you are unable to get the visa of any country d) If you are unable to travel because of sickness, on medical grounds or any other reason. The scale of cancellation charges mentioned under ‘Cancellation Policy’ shall be applicable and binding.

Important

  • These are the sole and complete terms and conditions governing the tour operations, supplemented only by the User Agreement. No employee of our company or any agent has the authority to amend, modify or change these conditions, and you are advised to rely on the term "as is". We reserve the right to change or modify these ‘Terms and Conditions’ at any time without notice.

  • All disputes will be solved under jurisdiction of Honorable Haridwar Court only.
